Each person signs in to BeePanel with their own local account. You grant each account the permissions it needs, one by one, and you can limit which extensions, queues, and trunks it sees with a visibility preset. BeePanel has no roles; permissions and visibility are set per account.
Before you start
- A user with the Administration permission, or the owner account.
The owner account
The account created during setup is the owner. It always holds every permission and sees everything. Nobody can deactivate, delete, or restrict it, or reset its password from the Users page; if its password is lost, see Resetting the owner password. Only the owner can change an existing account's username or extension.
Creating an account
- Open Management > Users and choose Add an account.
- On Profile, enter:
- Username: 3 to 64 characters, starting with a letter or digit;
English letters (a to z), digits,
.,_, and-only. It is stored in lowercase. - Full name, optional.
- Extension, optional: the user's own extension. Pickup and supervision act from it, and with Pro, My calls shows its calls.
- Password: 8 to 32 characters with at least one letter, one digit, and one
special character. Only English letters, digits, and the special
characters
!@#$%^&*()-_=+.,?are allowed; spaces and accented letters are not.
- Username: 3 to 64 characters, starting with a letter or digit;
English letters (a to z), digits,
- On Access, choose the permissions and the Visibility. A new account starts with every permission except Administration.
- Choose Create account.

Reports, recordings, transcripts, and My calls need the Pro edition.
A visibility preset does not limit Administration: an administrator manages every account and setting. Permission changes apply at the user's next action, without signing them out.
Limiting what a user sees
A visibility preset limits the extensions, queues, and trunks a user sees on the live panel, the wallboard, call history, recordings, and reports, and the calls they can act on. An account without a preset sees everything; an empty preset shows nothing.
- Under Visibility presets, choose Create preset and enter a Preset name.
- For Extension, Queue, and Trunk, choose All, or add rules: Exact, Prefix, or Numeric range. A type without rules is not visible.
- Choose Create preset at the bottom of the dialog to save it.
- Edit the account and choose the preset under Visibility on its Access tab.
Rules are dynamic: an extension, queue, or trunk added later that matches a rule becomes visible without editing the preset. A renamed resource or a change between SIP and PJSIP does not keep its access; update the rules yourself. A preset assigned to an account cannot be deleted; remove it from every account first.
A call is visible when at least one of its participants is visible. With Pro, a user always sees their own extension's calls under My calls, whatever the preset.
Deactivating, deleting, and resetting
From an account's actions menu:
- Deactivate stops the account from signing in and ends its sessions at once. Activate reverses it.
- Delete removes the account and its permissions for good. Call history is not affected.
- Edit, then Reset next to the password, sets a new password and ends the account's sessions.
Sessions and passwords
- A session ends after 2 hours without activity, and after 72 hours in any case.
- An account whose only permission is Wallboard is meant for a wallboard screen: its session does not end for inactivity, only after 72 hours.
- Users change their own password under Profile in the account menu: choose Change next to the password. Their other sessions end; the current one stays.
Common problems
The username or password is incorrect.
The username or password is wrong, or the account is deactivated. BeePanel does not say which, on purpose. Check the account's Status on the Users page.
The owner account cannot be administered.
The owner cannot be changed from the Users page. To regain access to it, see Resetting the owner password.
Detach this preset from every account before deleting it.
The preset is still assigned. Choose another Visibility for each account that uses it, then delete it.
