Call transcription turns a call recording into text with the BeeSTT service: a conversation view with speakers, and a summary. BeeSTT detects the spoken language on its own; speech in another language is translated into the main one.
A recording leaves your server only when a permitted user asks for its transcript, and only that recording. Saving the setting sends nothing. Transcripts are stored on your BeePanel server.

Before you start
- A BeePanel user allowed to manage BeePanel.
- An account on the BeePanel customer portal, where you create the BeeSTT API key and top up the credit that transcription uses. Credit packages are on the pricing page.
- Recordings that BeePanel can read, set in the recording directory.
Setting up transcription
- In the customer portal, open BeeSTT > API keys and choose Create key. For your first key the button reads Accept and create key.
- Copy the key. The portal shows it only once.
- In BeePanel, open Management > Settings, and choose Set up on the Call transcription row under Network and integrations.
- Paste the key into API key.
- Tick the confirmation that the recording's audio is sent to BeeSTT when a permitted user requests its transcript, and choose Save.
Saving does not check the key with BeeSTT. Open the editor again: when the key works, it shows your BeeSTT balance. To replace the key later, type the new one; leave the field empty to keep the stored key, which BeePanel never shows again.
Allowing users to request transcripts
Under Users, give each user who needs them:
- Transcript requesting, to start a transcript;
- Transcript viewing, to read transcripts.
Both also need Report viewing, because transcripts open from call history. Recording listening is a separate permission: a user can read a transcript without being allowed to play the recording.
Requesting a transcript
- Open Reports > Call history and find the call.
- Open the call's panel with the button on its row, labelled Listen to recording or View transcript.
- Choose Generate transcript, then Confirm and generate.
The panel shows the request waiting in the queue, then in progress, and then the transcript, without reloading the page. In call history, calls with a transcript carry a transcript mark.
If a transcript is not good enough, choose Regenerate… in its actions menu and say what is wrong. The current transcript stays available until the new one is ready.
Checking the result
- The editor shows your BeeSTT balance.
- A requested transcript appears in the call's panel, with Summary and Conversation views.
Keeping and deleting transcripts
BeePanel keeps transcripts until you delete them; nothing expires on its own. Transcripts are deleted together with a call history rebuild when you choose Also permanently delete retained transcripts under Storage and retention, and when BeePanel is uninstalled together with its data.
Common problems
Transcription is not configured. An administrator can set a provider in Settings.
No API key is stored yet. Set up transcription as described above.
The API key is missing, malformed, or not recognized.
This message comes from BeeSTT. The stored key is wrong, or it was revoked in the portal. Create a new key in the portal and enter it in the editor.
The credit balance does not cover the estimated charge for this recording.
This message comes from BeeSTT. Top up the BeeSTT credit in the customer portal under BeeSTT > Balance and usage, then request the transcript again.
The BeeSTT balance could not be retrieved right now.
BeePanel could not read the balance: the server cannot reach
beestt.beepanel.io over HTTPS, or BeeSTT does not accept the key.
Transcription needs the same connection and key.
A transcription job is running. Wait until it finishes, then try again.
The setting cannot change while a transcript is being made. Save again once it is done.
More than one matching recording file exists for this call, so BeePanel cannot choose one. Ask an administrator to check the recording files.
The recording file stored for this call is missing, and several files with its name but different extensions exist. Keep the one you want and move the others out of the directory.
This recording exceeds the transcription size limit.
The recording is too large to transcribe.
This recording exceeds the transcription duration limit.
